Lately, we have seen a lot of systems that are not efficient and up to par to properly serve dental practices. These systems don’t allow the user to access important information, process payroll in an efficient manner and have even made mistakes that have cost the business serious money.
In one instance, we found system was incorrectly calculating stat holiday pay resulting in significant overcharging to the company. Instead of the 4% stat holiday calculation the system was supposed to be making, it was calculating 6%.
This kind of payroll nightmare isn’t the only thing we’ve seen over the years – some of our clients take significantly longer than they should to complete their regular payroll, they can’t access important information they need to or their data is consistently incorrect.
If this describes your practice’s payroll system situation, you are not alone!
Are you stuck with a crappy payroll system?
If you find yourself relating to the horrors of some of the payroll mishaps and situations we’ve mentioned, know that it is never too late to change. Your payroll system should work for you not the other way around, and we are here to help!
No longer do you have to pay the wrong percentage of holiday pay, weed through data to find the information that you need only to see that it’s been lost, spend hours upon hours running payroll that should take significantly less time or not be able to pull the proper reports you need in order to make good business decisions.
There are payroll systems out there that will help you run more efficiently, get your tasks done significantly faster and make sure you pay the correct amount. You just need to find one and decide to make the switch.
Tips to switching payroll systems
If you’ve decided it’s time to switch, there are a few things you’ll want to consider before you do. We highly advise looking for a cloud-based system that helps to store your important payroll information in a secure manner that works smoothly and doesn’t depend on one particular hard drive. And look for a lower-cost system that integrates with your other systems, making sure that your payroll system, employee records and other important data talks to each other.
When you’re ready to make the change here are a few things to keep in mind:
- Pick a cutoff date for your old system and be firm about it
- Move your up-to-date employee information and files to the new system, backing up the information as you go along
- Make sure your data is set up in the new system prior to the cutoff date
- Make sure everyone who needs to can log in to the new system prior to the launch date
And remember, it is perfectly acceptable to do a mid-year transition. Time is of the essence when it comes to making good business decisions, make a good one for your clinic today!
